About the client

A multi-country distributor running on spreadsheets.

KP Solar Group is the leading distributor of solar equipment in Bulgaria and the Balkans, supplying panels, inverters, storage and mounting systems to some of the largest solar parks in the country through a network of 300+ integrator partners.

Before the project, sales, procurement, warehouse and finance ran on a patchwork of spreadsheets, disconnected tools and manual processes. KP Solar Group needed a partner able to model a real distribution business, not just ship software.

  • 01Thousands of SKUs. Panels, inverters, batteries and mounting, with stock spread over multiple warehouses.
  • 02Manual system quoting. Quoting complete PV systems required manual compatibility checks and constantly changing supplier prices.
  • 03A 300+ partner network. Integrators on tiered pricing and credit terms, with no single view of the relationship.
  • 04Siloed departments. Sales, procurement, warehouse and finance each worked in separate tools with no shared source of truth.
  • 05Two countries, two entities. Cross-border operations across multiple currencies and two languages.
  • 06Manual after-sales. Serial numbers, warranties and service cases were tracked by hand, making RMA and after-sales slow to trace.
Approach

Standard where it fits, custom where it counts.

Voidweb ran a fit-gap on the ground with sales, warehouse and finance before configuring anything. Standard Odoo covered the standard distribution flows; custom modules covered the rest. Delivery ran in phases, so each department went live without disrupting trading.

We implemented Odoo Online (version 19) as the group's ERP and CRM. It now runs inventory, quoting, partner management, procurement and after-sales service across two countries – and Voidweb owns it end to end, from discovery to maintenance, upgrades and direct support.

Team. Product Owner, Odoo Functional Consultant, Tech Lead, Odoo Developers, Data Migration Engineer, QA and DevOps.

Four core user groups. Sales build quotes, manage partner accounts and track deals through to delivery. Warehouse and logistics handle receiving, stock moves, serial tracking, picking and dispatch. Procurement and finance run purchase orders, import tracking, pricing and invoicing. Management sees margin, stock turnover and pipeline in real time. Each role sees only what it needs – reducing training time and keeping daily work fast.

01

Discovery & fit-gap

Process mapping with sales, warehouse and finance against standard Odoo.

02

Data migration

Spreadsheets and disconnected tools moved into Odoo first, so every phase started from clean data.

03

Configuration

Standard Odoo set up for the distribution flows it already covers.

04

Custom modules

System quoting, solar-specific attributes and document layouts, where standard Odoo stops.

05

Go-live & ownership

Department by department without disrupting trading, then maintenance, upgrades and direct support.

The system

One Odoo database, from container to customer.

Inventory, purchase & fulfilment. Multi-warehouse inventory with real-time availability; serial and lot tracking for panels, inverters and batteries; purchase orders and import tracking from supplier to shelf; a product catalogue extended with solar-specific technical attributes; order to picking to dispatch with custom document layouts; and returns, RMA and warranty cases linked to the original serial number.

CRM & partner management. One Odoo record per integrator, from first enquiry to repeat orders: tier and credit terms, full activity and order history, a deal pipeline from enquiry to delivery, ownership and follow-up tracking, and training and certification records.

Custom system quoting. A custom Odoo module prices a complete PV system in one flow – panels, inverter, storage and mounting quoted together, Odoo pricelists driving tier and partner-specific pricing, live stock and margin visibility while quoting, versioned quote documents and one-click conversion from quote to order.

Integrations. Odoo sits at the centre, not on the side: Odoo Accounting with local invoicing requirements, the public web catalogue fed from Odoo, supplier price lists and stock feeds via API, and document and email automation.

Data & reporting. Odoo dashboards and custom reports, without asking IT – margin per order, partner and brand, stock turnover and ageing, sales performance by region and entity, and exportable reporting for management.

Two entities, one system. Bulgaria and Romania in one Odoo database: a multi-company setup with separate documents and numbering, multi-currency pricing, invoicing and reporting, and consolidated group-level visibility. Growth into a new market no longer means a second set of spreadsheets.

Interface & adoption. Warehouse staff work on tablets, sales work at speed, management works on summaries. Simplified role-based views, list and kanban views built for scanning, barcode-driven warehouse flows on tablets, and a Bulgarian, Romanian and English interface.

Results

Faster quotes, cleaner operations.

01

70% faster quote turnaround

A complete PV system is priced in one flow instead of half a day of manual checks.

02

90% less manual data entry

Sales, warehouse, procurement and finance work from one shared source of truth.

03

Real-time stock accuracy

Across all warehouses, so sales can promise what the warehouse can actually deliver.

04

300+ partners in one system

The integrator network is managed as a real portfolio, with pricing, credit and history in one place.

05

Full traceability

From container to installed serial number, including warranties and RMA.

06

Ready to scale

An upgradeable foundation for new brands, entities and product lines across the Balkans.

Quotes that used to take half a day now take minutes, and the warehouse and the sales floor are finally looking at the same numbers.

Why it worked

A long-term product partner, not a vendor.

Business-first implementation: we mapped the operation before configuring anything, so Odoo reflects how the company really trades. Ownership beyond go-live: maintenance, direct support and a clean upgrade path on Odoo Online, with new modules as the business grows. And a local Bulgarian team working in the client's language and time zone, holding to enterprise Odoo practice.
